The Little Village Chamber of Commerce is seeking a dedicated and organized individual to join our team as an Administrative & Program Coordinator. This bilingual (Spanish/English) role provides comprehensive administrative, office management, and program support, ensuring the efficient day-to-day operation of the organization. The coordinator will support outreach and events, serve as a front-facing resource for clients, and assist the Executive Director in advancing LVCC’s mission.
Responsibilities:
1. Provide general administrative and clerical support, including mailing, scanning, faxing, and copying documents for the team.
2. Maintain both electronic and hard copy filing systems, ensuring organized and easily accessible records.
3. Perform data entry tasks and scan documents accurately to contribute to a well-maintained database.
4. Manage the calendar for the Executive Director, scheduling and coordinating meetings, appointments, and travel arrangements.
5. Assist in resolving any administrative problems that may arise, demonstrating problem-solving skills and initiative.
6. Answer calls from customers, addressing inquiries and providing information in a professional and courteous manner.
7. Welcome and assist clients who walk into the office, ensuring a positive and helpful experience.
8. Prepare and modify various documents, such as correspondence, reports, drafts, memos, and emails, with a high level of accuracy and attention to detail.
9. Schedule and coordinate meetings, ensuring all arrangements are in place and materials are ready for the Executive Director.
10. Maintain office supplies for the department, complete board meeting minutes, and prepare the boardroom for board meetings.
11. Assist in outreach efforts to promote programming and events, actively participating in LVCC events as needed.
12. Assist in completing grant deliverables by providing necessary documentation and support as required.
13. Undertake other duties as assigned by the Executive Director to contribute to the overall success of the organization.
Qualifications:
- Bilingual proficiency in Spanish and English (written and verbal).Proven experience as an office manager or in a similar administrative role.
- Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
- Proficient in Microsoft Office Suite and other relevant software applications.
- Excellent communication skills, both written and verbal.
- Ability to work independently and collaboratively in a team environment.
- Attention to detail and a commitment to maintaining a high level of accuracy in all tasks.
- Demonstrated problem-solving skills and the ability to handle challenging situations.
- Flexibility to adapt to changing priorities and a dynamic work environment.
- Strong customer service skills, with a welcoming and helpful demeanor for front-facing interactions.
